Mapping Expense Categories is now easier than ever. New components have been introduced to the expense category functionality, all designed to improve the account and item mapping workflow during expense category creation.
This article will introduce you to the new and improved expense category functionality.
Map Account and/or Item via Expense Category Upload
When you upload a list of expense categories, you can now map accounts and/or items at the same time. Fill out the account and/or item columns with the exact account or item names, along with expense category names and other fields.
Tallie will perform the mapping based on any exact name match with existing accounts or items in the enterprise. A couple scenarios could occur:
- If no exact name match is found, the category is uploaded without mapping.
- If both account and item are provided in the upload file, Tallie will evaluate whether both can be applied based on the same integration-based logic used when saving expense categories.
- If both can be applied, apply both, otherwise, apply item mapping only.
Generate an Expense Category from an Account
On the Edit page of an Account, you’ll find a Create a Mapped Expense Category button.
Clicking this button will take you to an expense category creation view where the expense category name and account mapping are pre-populated. You can fill in any other details as necessary and click Create to set up a new category.
Certain accounts that aren’t eligible for expense category mapping (such as Credit Card type accounts) will not get this button. The eligibility is determined by which account types allow for expense tracking.
Generate an Expense Category from an Item
On the Edit page of an Item, you’ll find a Create a Mapped Expense Category button.
Clicking this button will take you to an expense category creation view where the expense category name and account mapping are pre-populated.
Mass Create Expense Categories from Account and Item Lists
From the Accounts or Items list, selecting one or more accounts or items will activate a Create Mapped Expense Categories button.
Clicking the button will create expense categories for each of the accounts or items selected that are named identical to the account or item names, also mapped to the selected account or item.
If an expense category already exists with the same name and it’s already mapped to an account or item, then a new expense category will be created, with the number 2 (or 3, 4… depending on the number of pre-existing expense categories with the same name) appended to the expense category name. If an un-mapped expense category with the same name exists, Tallie will apply mapping to that expense category based on the selected item or account.
